You can’t make a new file if it doesn’t have any correspondence. Opening files in case you might talk to someone in the future wastes time and valuable file covers. It also makes the file index confusing. If the Head of the Records Office isn’t sure if a new file is needed, he will talk to the person in charge of taking action. It’s important to get action officers to ask for files.
For different tasks, different sizes of paper are used. Most business cards are 85 mm by 55 mm, which is about the same size as an A4 magazine. Here are the important measurements. Everyone uses terms that are small enough to fit on a single sheet of paper, but do they all know what they mean and why? Unless a customer specifically asks for a custom size, postcards (A6), flyers (A5), and newsletters (A4) will all be made in a standard size unless the customer asks for a custom size.
